    The Office Coordinator will be based in our downtown Vancouver office and will report directly to the VP, People & Culture. We offer an attractive compensation package which includes salary, eligibility for bonuses, comprehensive health, and other benefits.

     

    Responsibilities: 

     

    Maintain company files and records with effective filing systems

    Coordinate travel arrangements (flights, hotels, car rentals) for employees and consultants

    Arrange conferences (payments, registration, hotel, flights, car rentals)

    Organize and maintain meeting rooms (ensure rooms are organized and stocked with refreshments, sanitized, and tidy up after meetings)

    Maintain and update corporate calendar (business travel and vacation calendar)

    Support other teams with various administrative tasks (redirecting calls, disseminating correspondence, scheduling meetings, catering for meetings etc.)

    Greet and assist visitors when they arrive at the office

    Monitor office expenditures and handle all office contracts (rent, service etc.)

    Assist with basic accounts payable activities and expense reports

    Monitor office and kitchen supplies inventory and place orders

    Book corporate lunches and events (including planning and booking all social events)

    Onboarding new employees (ensure workspace is prepared, ensure all onboarding forms are provided and follow up for completion)

    Maintain and update company contact list

    Assist with formatting documents and presentations

    Assist in vendor relationship management

     

    Key Skills and Experience: 

     

    Proven experience as office coordinator or in a similar role

    Experience in customer service

    Knowledge of basic bookkeeping principles and office management systems and procedures

    Outstanding knowledge of MS Office

    Working knowledge of office equipment (e.g. optical scanner)

    Excellent communication and interpersonal skills

    Organized with the ability to prioritize and multi-task

    Reliable with patience and professionalism

    Associate’s/College degree; BSc/Ba in business administration or relevant field is a plus

    Spanish and/or Portuguese speaking would be an asset
