Ballard’s Commercial team has an opening for an experienced Proposal Specialist. Reporting to the Manager, Proposals & Inside Sales, this role will primarily focus on pre-sales activities including development of commercial proposals and quotes coordination for Ballard’s fuel cell products, engineering services and after sales service. Responsibilities:
The Proposal Specialist is responsible for creating and responding to requests for quotations and proposals and sales contracts. Proposals can range from short, standard responses, to detailed and complex RFP responses, related to Ballard’s fuel cell products, engineering services and after sales service.
The Proposal Specialist collaborates across organizational functions and processes and works with many internal stakeholders in order to secure a successful and efficient quotation process. The role will be required to interface with Customers, External Sales teams, Legal, Engineering, Operations, Finance, and others.
Work in a collaborative, cross-functional team environment to coordinate quotation and commercial offer responses:
Generate commercial offers (budgetary pricing, quotations, sales contracts) using inputs from the Sales team, Product Line Managers, and other internal stakeholders as may be necessary
Coordinate commercial offer review and approvals with internal stakeholders, ensuring compliance to Ballard internal contract review process
Manage multiple simultaneous commercial offer responses on tight deadlines.
Support global sales organization by managing larger, more complex Proposal response, from receipt of the RFP through to submission.
Create and distribute proposal response plans that break out proposal/RFI/RFP requirements into section assignments and assign responsibility for completion.
Perform writing, editing, proofreading, customizing, and formatting to ensure proposal responses are clear, concise and well presented.
Work cross-functionally with subject matter experts within the organization to create responses for proposals while maintaining a technical understanding of the company’s products and service offerings
Track and report on outstanding commercial proposals
Support Sales during contract negotiations, coordinating commercial offer reviews and bids with other stakeholders (technical, legal, finance, etc.)
Lead the process improvement of commercial proposal responses, including proposal layout and content
Supporting commercial team on additional projects and tasks as and when required
Requirements:
7-10 years of work experience, including at least 5 years of proposal related experience, with technical sales, engineering consulting or professional services preferred.
Bachelor’s degree in Communications, English, Social Sciences, Business or a related field
Excellent interpersonal & communications skills
Advanced English writing, editing and proofreading skills; familiarity with technical writing, with an eye towards sales messaging, themes, proposal aesthetics, and content
An understanding of commercial legal issues, and experience in contract review and negotiations
Strong leadership qualities; able to establish and communicate a plan, help drive the proposal process, and coordinate with diverse teams, both in person and remotely
Well organized, process driven, able to manage multiple tasks concurrently and ability to prioritize, execute and meet tight deadlines
Ability to work with a diverse group of internal and external stakeholders at all levels of an organization
Experience with CRM (Salesforce.com) systems is an asset
Experience in creating financial summaries for commercial offers is an asset
Experience in developing, implementing and maintaining proposal templates is an asset
